Who we are
Kopi Web is a web solutions business registered in Singapore. In this policy, “we” and “us” mean Kopi Web, and “this website” means kopiweb.sg.

What we collect
When you send a project enquiry
The enquiry form asks for:
- Required: your name, your business or organisation, your email address and a short description of your project.
- Optional: the services you are interested in, your current website, a phone number, your timeline, an indicative budget (or that you are not sure yet) and anything else you choose to tell us.
Please do not include sensitive personal data, such as NRIC numbers or health or financial details, in an enquiry.
When you contact us directly
If you message us on WhatsApp, email us or call, we receive what you send, together with your phone number or email address. WhatsApp is operated by WhatsApp LLC (part of Meta), and its own privacy policy applies to messages sent through it.
When you browse this website
- Technical information. Netlify, which hosts this website, processes technical information about each visit, such as your IP address, browser type, the page requested and the time, so that it can deliver the website and keep it secure.
- Spam protection. Enquiry form submissions are checked for spam by Netlify, which uses the Akismet spam-filtering service, and by a hidden form field that people do not see.
- No analytics or tracking. This website does not use analytics, advertising or tracking cookies.
- Your browser’s own storage. If you choose a light or dark theme, that choice is saved in your browser so the site remembers it. After you send an enquiry, a short-lived note is kept in your browser so the next page can confirm it was received; it is removed as soon as that page has been shown. Neither is sent to us.
How we use it
- To read and reply to your enquiry or message.
- To discuss your project and prepare a scope and quotation.
- If you become a client, to deliver and support the work we agree.
- To keep this website secure and working properly.
We use your details only for these purposes, or for others you agree to. We do not add you to a mailing list, and we never sell personal data. By sending us an enquiry or message, you consent to us using your details in this way, and you can withdraw that consent at any time (see “Your choices and rights”).
How enquiries are handled
When you send the enquiry form, your details go to Netlify, which receives the submission, checks it for spam and stores it in our Netlify account. Netlify then sends us an email notification containing your enquiry, which arrives in our business email, provided by Google Workspace. We reply to you by email, or on WhatsApp if you prefer.
Only the people at Kopi Web who handle enquiries can see them. If your enquiry becomes a project, people we engage to help deliver that project may receive the details they need for that work.
Transfers outside Singapore
Netlify and Google may store and process personal data outside Singapore, including in the United States. When your data is handled outside Singapore, we use providers that commit to protecting the data they process for us, and we take reasonable steps to make sure it receives a standard of protection comparable to that under the PDPA.
How long we keep it
If your enquiry does not lead to a project, we keep it and any related messages for 12 months after our last meaningful interaction with you. We then delete it, including from our Netlify account and our email, or make it anonymous. We will delete it sooner if you validly ask us to, and we may keep it for longer only where the law requires or allows us to.
If you become a client, records about you and your project are kept under separate retention requirements that apply to client records.
How we protect it
This website is served only over encrypted HTTPS connections, including when you send the enquiry form. We limit access to personal data to the people who need it to reply to you or deliver your project. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data.
Your choices and rights
Under the PDPA, you can ask us to:
- tell you what personal data we hold about you and how it has been used in the past year;
- correct personal data that is wrong or incomplete;
- stop using your personal data, by withdrawing your consent.
You can also ask us to delete an enquiry you have sent.
Email privacy@kopiweb.sg with your request. We may need to confirm your identity before we act on it, and we will respond as soon as reasonably possible. If you are not satisfied with our response, you may contact Singapore’s Personal Data Protection Commission.
Changes to this policy
We will update this policy when what we collect, who handles it or how we use it changes. The date at the top shows when it was last changed.
